Recap of the December 2013 Meeting

Our club business meeting was held Friday, December 20th, at the Kremmling Library.

Call to Order: Bailey Monnahan

Roll Call: All had to respond with their favorite Christmas song.
Minutes: (Julie was out sick. Liberty stood in her place.) Liberty read November's minutes.

Treasurers Report: Liberty Mathis ~ $1,130.25

Old Business
We agreed to celebrate last year's 100% completion by having an ice cream party at the January business meeting. (This comes as an award from the Extension Office, because every member in our club completed their 4-H project last year. They will reimburse up to $25 toward ice cream and supplies.)

Sierra, Cameron, and Jessica volunteered to join the Cloverbud Camp organizing committee. We agreed that we are going to need to schedule a separate brainstorming meeting sometime in January to get the ball rolling. I will contact the committee members to identify a date that works best for all involved. I will attend the meeting to help facilitate and take notes. The committee did decide on Saturday, February 22nd, as the day of the camp; I was able to reserve the Extension Hall for that day.

We need Tish Linke to call her peach orchard contact to ask specifically how much the boxes will cost us if we cannot pre-sell 300.

Bailey told us that she delivered PRC pamphlets to Los Amigos and Subway. We need to hear from Molly and Julie where they delivered their pamphlets. Also, we need to schedule a time to revisit those sites to see if they need more pamphlets. I can do this once I hear back from Molly and Julie.

New Business
4-H Clubs are now expected to complete more official paperwork each year. I worked on completing some of that last week.  Our club's checking account needed to have the signature card updated. The club voted to remove Shawn Bohall and Susan Soltis from the card, as well as to include a statement that CSU is requiring we have on the signature card: "When deemed necessary, CSU Extension and the Extension Agent in Grand County has the authority to request and obtain information, freeze and designate authorized signatures in regard to this account."  

Now that we have these items in our minutes, I can show them to Grand Mountain Bank and have our signature card updated.

The club also approved a club budget for 2014. If hope to earn $600 in income through fundraisers. Then we budgeted to save $300 for our graduate scholarships, give $200 toward education events (such as field trips, district retreat and other 4-H camps), and spend $100 toward community service projects. This is a rough estimate that can help guide our decisions. The more money we earn, the more money we can give.

We also needed to amend our by-laws to include a statement declaring that upon our club's dissolution, the club leader will transfer all club property and records to the County Extension Agent. The full statement is listed on our agenda and in our minutes. The club approved this statement, and I emailed the minutes to Caroline to add to our official paperwork.

If you participated in two 4-H Council fundraisers last year, you can request financial assistance at the Jan. 6th 4-H Council Meeting in HSS at 7:00 p.m.

Minutes for December's Meeting

The December 20, 2013 Homesteaders meeting was held at the Kremmling Library.


Bailey Monnahan called the meeting to order at 1:15pm.


Foster Krempin led the prayer.


Liberty Mathis read Psalm 95:1-4 for the devotion.


Audrey Wheatley led the pledges.


We had to answer roll call with our favorite Christmas song.


Liberty Mathis read the minutes. Ben Mathis made the motion to approve the treasurer’s report. He also moved to amend the minutes to read that half of the parent leaders’ tickets to the stock show would get paid (not for all parents). Audrey seconded the motion; motion passed.


Liberty Mathis read the treasurer’s report. The account balance is $1,130.25.  Sierra Bensing made the motion to accept the treasurer’s report. Foster Krempin seconded the motion; motion passed.


Old Business:
We will get ice cream at the January meeting for our 100% completion award.

New Business:
Liberty Mathis made the motion to removed Shawn Bohall and Susan Soltis from our account’s signature card. Ben Mathis seconded the motion; motion passed.


Sierra Bensing made the motion to add the following statement to the signature card…

Audrey Wheatley made the seconded the motion; motion passed.


Joy Hast made the motion to approve the club’s budget for 2014 ($600 income; $300 to scholarship fund; $200 to education activities; and $100 to community service supplies.). Sierra Bensing seconded it; motion passed.


Foster Krempin made the motion to adjust the club’s bylaws to state the the club meetings be held the 2nd Friday of each month. Ben Mathis seconded the motion; motion passed.


Sierra Bensing made the motion to add the following statement to the club’s by-laws:
-”Upon dissolution, this club’s assets shall be distributed for one or more exempt organizations for purposes within the meaning of section 501(c)(3) of the Internal REvenue Code, or the corresponding section of any future federal tax code, or shall be distributed to the federal government or to a state or local government for public purpose. Any such asset not so disposed of shall be disposed of by a Court of Competent Jurisdiction of the county in which the principal office of the club is then located, exclusively for such purposes or to such organization or organizations, as said COurt shall determine, which are organized and operated exclusively for such purposes. The last official duty of the club’s leader shall be to affect the transfer of club property and to turn over club records to the COunty Extension Agent.”


Foster Krempin seconded the motion; motion passed.

Club News - December 2013


Club Announcements

  • Club Christmas Party and Business Meeting!
    • This Friday, Dec. 20th, at the Kremmling Library’s Community Room, from 12-2 p.m.
      • 12 - 1 p.m. - Tray Favors, Gift & Cookies Exchanges, Goodies from Julie
        • Please remember to bring 3 dozen cookies to exchange, a large container to take your cookies home, and your gift for the gift exchange (members only).
        • I will bring an extra container for us to make a cookie tub for the Extension Office.
      • 1 - 2 p.m. - Business Meeting

  • NEW Time for Meetings Next Year!
    • Beginning in January, our club meeting time will be from 1 - 3 p.m. instead of from 12 - 2 p.m.  This is due to the the Kremmling Library hours being changed and thus affecting the timing of Julie’s babysitting job.  We can now schedule the meetings such that Molly can participate in the Cloverbud Times and everyone can enjoy lunch before coming to the meeting.  Hurray!

  • Next Homesteaders Meeting - Friday, January 10th from 1 - 3 p.m. at Kremmling Community Church

  • National Western Stock Show - Jan. 17th - 15 Homesteaders + 1 non-leader parent will be attending!

  • 4-H Enrollment - DUE before Dec. 31st! - As of  Monday, Dec. 16th, the Krempins, Hubbards, Aprills & Wilkinsons have not re-enrolled.  Let me know if you have questions!

  • Thank you to all club members who decorated the 4-H Council wreath, went to Fraser to sell it (Council earned $150!), wrapped gifts at the Preschool Craft Fair, and baked cookies for Kremmling’s Christmas Tree Lighting Ceremony.  Well done!

New Business:
  • Office of Reporter
    • Sierra Bensing volunteered for the job.  Travis Hoesli said that as far as he knows, there is not an official record book for this office.  He suggested that Sierra keep a scrapbook of our activities and design it according to her own creativity - as a way to record the history of our club.  Thanks, Sierra!


  • December Meeting & Christmas!
    • Change of Date & Location - Dec. meeting on Dec. 20th - 12-2pm @ Kremmling Library’s Community Room
      • NO Cloverbud Time - ALL make tray favors 12-1 p.m., enjoy refreshments, and do the gift & cookie exchanges
      • Gift Exchange: Names were selected for the gift exchange.  Shelly has a master list if you forget who you have.  The club voted on a $5 limit for the cost of the gift.  Be creative!  Make something homemade and simple.  :)
      • Cookie Exchange: Each family will bring 3 dozen cookies to share.  Bring a large enough container to take your share of cookies home!
      • We will make a plate of cookies to give to the Extension Office
      • Business Meeting - 1-2 p.m.
    • December Community Service:
      • Tray favors for seniors. Marcy will order a winter-themed craft from Oriental Trading.  Shelly will bring snowflake stickers leftover from last year.
      • For those of you who want to, you can bake cookies to donate to the Tree Lighting in the Park Ceremony on December 7th.  Please drop your cookies off at the Eastin Hotel anytime that day.  
  • Club trip to the Stock Show on January 17th
    • Contact Shelly if you want to buy tickets to go to the Stock Show on 4-H Day before December 2nd
    • Travis estimates the cost of each ticket at $15.  The club voted to pay half of each member and leader ticket of those attending, since it is an educational trip.


  • Tish shared fundraiser and field trip ideas with club
    • The club volunteered to hang up Pregnancy Resource Center information at local businesses and maintain them throughout the year.  Various members volunteered to do this on their own time.  
      • Make sure you record it down as Community Service for your record book!
    • Fundraiser Idea: selling Palisade Peaches
      • Pre-sell boxes of peaches (16 lbs.)
        • Sell for $35/box
        • Sell 300 - our cost = $25/box ($10 profit/box)
        • Sell 500 - cost = $22/box ($12 profit/box)
      • Tish will find out how much our profit would be if we could not sell 300 boxes.  We tabled this until February’s meeting.
    • Field Trip Ideas:
      • Honey Farm and Orchard in Palisade
      • Tactile - coincide with trip to symphony on Dec. 4th?  Tish will find out and let us know.


  • Club Ice Cream Party (for 100% completion last year - $25 limit)
    • The club voted to table this until after the holidays and chose to buy ice cream and supplies in bulk to eat “in-house” instead of at a restaurant.


  • Cloverbud Camp
    • Organize for winter time - February?  Theme?  Brainstorm via email?  Chairperson?
      • The officers voted to try to organize a camp in February - IF a date can be worked out with everyone’s schedules (i.e. Bailey’s basketball).
      • Theme = Cowboy Ethics
      • Julie will chair the committee and email the club members to begin brainstorming ideas.  The officers decided to wait until January to begin organizing in earnest.
      • Shelly spoke with Caitlyn afterward, who said she has an entire book filled with the Cowboy Ethics curriculum and materials that the kids can use.  She would like to meet with them in January to review it with them and help them with ideas.

    • Bring cookies to the Eastin Hotel during the day to donate for the tree lighting ceremony in the park on the evening of Dec. 7th.


  • December 13th:  Fun Event
    • Caitlyn will be teaching kids to make Sugar Chalets at the Extension Hall!  For grades K-12 and you do not have to be in 4-H to participate!  Cost is $5.  Please RSVP by Dec. 6th.
