Recap of January 2014 Meeting

Treasurer’s Report = $992.76

Old Business:
  • Cloverbud Camp Committee will meet directly following this business meeting.
    • Possible NEW date for camp = Saturday, March 8th

New Business:
  • District Retreat
    • The club voted to continue to give $25 to 4-H camp attendees (those who helped the club with fundraisers last year).
    • Bailey, Audrey, Liberty, Ben, and Julie are definitely going, and all were given $25 from the club account to go toward their trip fee (except Bailey, who goes free as a council senator).  Molly is still undecided.
  • Fundraisers
    • Kum & Go Booklets - The club voted to participate in the joint Council & Club fundraiser of selling Kum & Go coupon booklets.  We decided to order 50 - an increase of 10 from last year’s order.
    • Gymkhana Concessions - The club voted to sign up to do two summer gymkhana concessions.  We selected July 12th and August 30th as our preferred dates.  Shelly will contact Caroline to see if those dates are still available and get our name on the list.
      • New members were informed that through family donations, store donations, and all of our volunteer work at the concessions, we are able to raise approximately $400 for our club.
    • Peaches - Tish said she heard from the Peach people that we could get the same price for 200 boxes.  Later, she emailed Shelly with the idea of seeing if Council or other 4-H clubs would like to participate in this fundraiser and split up the proceeds somehow.  If this is the direction we want to take, we will need to present this to the Council at the February meeting (2/3/14).
      • Travis did tell Shelly that these type of fundraisers are excellent, once a customer base is established.  Something to consider… as well as ideas for how to sell as many as possible.
    • Other - We also talked about how we need to find more fundraisers for our club, since we have grown so much - and thus, our expenses are growing, as well.
      • Shelly will contact the Extension Office staff to let them know that we are looking for more ways to make money as a club, and to request that they let us know if they hear of any that are available.
  • February’s Community Service
    • The club voted to supply one week’s worth of hot dinner meals to the Wood family after they return home with their new baby.  Meals will be delivered from Monday, Feb. 17th through Sunday, Feb. 23rd.  Shelly will organize this via email.
  • Annual Plan of Action & Schedule of Meetings
    • Shelly submitted a rough idea for the club’s Annual Plan of Action.  The club voted to accept it and modify as needed.  Shelly will submit to office to be included in our official charter paperwork.

  • National Western Stock Show - Jan. 17th - Shelly sent out information to attendees.

  • Cloverbud Night - Wednesday, Jan. 22nd, 5:30-6:30 p.m. at the Extension Hall.  Decorate cupcakes!  Ages 5-7, as of Jan. 1, 2014.

  • Next Homesteaders Meeting - Friday, February 14th  from 1 - 3 p.m. at Kremmling Community Church

  • REMINDER: Please read through the 4-H Newsletter each month!  There may be pertinent information concerning your 4-H project, interesting activities available to you, and Cloverbud events.

  • January 24-27: Leadership Development Conference (LDC)
    • LDC is a camp for Senior members only. The sign-up forms are due back at the office on January 10th.

  • February 3rd Council Meeting @ 7 p.m. at Hot Sulphur Springs Community Hall
    • Call the Extension Office if you want a ride - 724-3436!

  • Fiber Fun Fest - February 22nd - 9 a.m. - 4 p.m. - Larimer County Fairgrounds
    • See 4-H Newsletter for information.  
    • Tons of fun!  Free heritage arts classes for 4-H members and leaders!

Minutes for January 2014 Meeting

The monthly meeting of the Homesteaders 4-H club was held on January 10, 2014.


Vice President, Molly Scruggs, called the meeting to order at 1:56 P.M. Sierra Bensing led the prayer. Audrey Wheatley led the devotion on Ecclesiastes 4:9-10.  Audrey Wheatley led the pledges. Secretary Julie Aprill took the roll call and members were to respond with their chosen 4-H projects. There were fifteen members, five adults, and no guests in attendance.  Julie Aprill read the minutes, Liberty Mathis moved the we approve the minutes, and Sierra Bensing seconded it; the motion passed.  Liberty Mathis read the Treasurer's report, Cameron Wood moved to approve the Treasurer’s report, and Jessica Bensing seconded it; the motion passed.


Old Business:
In December we voted on Items that needed to be added or removed from our club’s bank signature card, budget, and bylaws.  

The cloverbud camp committee will get together after adjournment to schedule a meeting with Miss Caitlyn.  The new date for the camp is March 8th.


New Business:
District Retreat is coming up.  Ben Mathis moved that we continue to give $25 to camp attendees. Sierra Bensing seconded it; the motion passed.  So far we have five kids going who will need reimbursed.  

Sierra Bensing moved that we order fifty Kum and Go booklets from the council, Cameron Wood seconded it; the motion passed.  We chose July 19th and August 30th for our club to do Gymkhana concessions.  Tish Linke told us we need to make a decision about selling peaches soon while we can still get a good price on them.

For our February community service, Liberty Mathis moved that we make meals for the Wood family when the new baby arrives. Sierra Bensing seconded it; the motion passed.

Julie Aprill moved to approve the draft for this year’s plan of action and schedule of meetings. Audrey Wheatley seconded it; the motion passed.

Julie Aprill will do the next prayer.  Ben Mathis will do the next devotion.  Susan and Kenna Wall will be providing the refreshments.

Club Meeting


  • Friday, January 10th, at the Kremmling Community Church, from 1-3 p.m.

  • We’re going to try NEW changes in our meeting schedule!
    • To help give us more time for a Cloverbud Camp Committee meeting following our business meeting, I would like to work with the Jr. Leaders for 20 minutes in preparation for Clover Time.  Jr. Leaders, please arrive by 1:00 p.m. or earlier to help prep and set up.
    • I am renaming Cloverbud Time to Clover Time - for all ages are welcome to come learn the Cowboy Ethics, play games, etc.  Although the curriculum is focused for the younger kids (5-7), we have already seen that it contains good benefits for all ages.
    • All members (non-Jr. Leaders) please arrive by 1:15 p.m., for Clover Time will begin at 1:20 p.m.

  • Schedule
    • 1:00 - 1:20 p.m. ~ Jr. Leaders prepare for Cloverbud Time (Bailey, Molly, Julie, Liberty, Ben)
    • 1:20 - 1:50 p.m. ~ Clover Time!  All club members welcome to come learn about optimism!
    • 1:50 - 2:30 p.m. ~ Business Meeting
    • 2:30 - 3:00 p.m. ~
      • Cloverbud Camp Committee Meeting - Bailey, Molly, Liberty, Julie, Ben, Sierra, Jessica, Cameron, Audrey (?)
      • Others are free to visit with one another, play, etc.

  • To Mothers of Cloverbud Members: I am working hard to make our business meetings as short as possible, so that the younger members (ages 5-7) can learn to sit through them.  CSU Extension wants us help the Cloverbuds learn to become active members of a club.  I know it’s hard for them to sit through, and that’s why we meet at KCC - to give them a nearby play room, if they just cannot make it.  If you must leave, I understand, but I just wanted you to be aware of the goal we are working toward (and it will take time).  As we keep tweaking the process, things will smooth out and a flow will come into place that makes it easier for all.  Thanks for bearing with me!

    • Suggestions:
      • If you have not received your record books, please contact Miss Caroline at the Extension Office to inquire about them.  Let me know if you need anything from me.
      • Deb & Molly ~ I have your record books and will bring them on Friday.
      • When you get your record books…
        • Take time to browse through them to get an overview picture of the project...
        • Write down ideas of how to schedule your project assignments over the next few months…
        • If you need someone to help learn the project (or to help teach it to your children), let me know!  We can contact the office to see if they can hook us up with an “expert.”
        • Stay tuned!  The office will be scheduling Record Book Workshops this spring.  This will be very valuable to attend, especially for the new 4-H members!
