Recap of September 2017 Meeting

Meeting Date: September 8, 2017
Isaiah called the meeting to order at 1:38 p.m.  Kenna opened in prayer.  Foster read John 13:35 as a devotion.  Shiloh led the pledges.  Due to Audrey’s absence, the July minutes were tabled until the October meeting.  Due to the August bank statement having not arrived, Ben did not give a Treasurer’s report; it was tabled until the October meeting.
4-H Council Meeting Report:
  • The trip assistance passed; kids must attend 2 4-H Council meetings, plus help with council fundraising.
  • Senators need to work for trip assistance and report back to Council.
  • Achievement night will be in November.
  • Next Council Meeting - Monday, September 11th, at 6:30 p.m. in the HSS Town Hall
Old Business
  • Community Service
    • Sew It Seamz Scholarship
      • Would the Secretary (Audrey) please record in the minutes that the club voted by email in August to renew its $400 scholarship donation to Sew It Seamz?

New Business

  • Community Service
    • Apple Donations
      • Kenna moved that the club purchase 3 boxes of apples to donate to the Granby Seniors, Kremmling Seniors, and Mountain Family Center.  Foster seconded the motion; the motion passed.
    • National 4-H Week, October 1-7
      • Rhaelyn moved that the club bake and give away homemade cookies to businesses as a “Thank You” for supporting 4-H.  Foster seconded; the motion passed.
      • Please see the information at the end of this report that details the cookie delivery plan.
  • Club Officers  
    • Officer Elections -- Due to our club’s growth, officers will no longer be appointed by club leaders (treasurer excepted).  Officer elections will be held at the October 13th meeting.  Shelly will email officer applications later in September.  Those who are interested in running for office need to complete the email and return them to Shelly by Saturday, October 6th, and prepare a speech to give at the October meeting.

  • Ben moved to adjourn the meeting; Evan seconded the motion.  The motion passed.  The meeting was adjourned at 1:51 p.m.

Club News - September 2017 Part 2

Club News
September 2017 ~ Part 2

Change is Happening!
Marcy and I have noticed how our club proceedings have grown in complexity.  This has become cumbersome for all of us.  4-H is supposed to be FUN!  Thus, Marcy and I met this week to discuss ways we can simplify.  

First of all, Marcy and I feel that our annual schedule is packed full.  We are no longer going to look for new things to do unless the club desires to replace a current activity with a new one.

Second, we want to make our meetings shorter.  (YAY, shouted all the kids!)

These are the new business meeting procedures to keep us on track:

  1. Business will be conducted in 30 minutes or less.
  2. All agenda items must be submitted to Shelly or Marcy a week before the club meeting.  This gives us time to research, organize, and prepare the agenda -- rather than trying to do that during a meeting, which takes up a lot of time.
  3. All items on the agenda will be fully prepared for the members to vote upon (thus, the business meeting is about the club making decisions).
  4. The moms will meet after the meetings to hash out the “nitty gritty” (and boring!) details, while the kids enjoy snacks, games, tray favors, and fun.  
  5. Announcements will no longer be read by the president.  We can do that on our own!
  6. Announcements from the 4-H Council Newsletter will no longer be included unless we feel it is something critical.  Please read the newsletter on your own to stay informed.

We believe these are good steps toward making things fun and enjoyable for all.  We’ll continue to make changes as needs arise.  Thank you for your willingness to adapt and change with us.
