Minutes for October 2014 Meeting

The monthly meeting of the Homesteaders 4-H club was held Friday, October 10, 2014.

President Liberty Mathis called the meeting to order at 1:09 p.m. Liberty led the prayer because Molly Scruggs was absent. Shiloh French led the pledges. Audrey Wheatley took the roll call; members were to respond with their favorite kind of chip. There were 8 members present, 3 guests, and 5 parents. Bailey Monnahan moved that we should not read aloud the recap from last month’s meeting. Jill Wilkinson seconded it; the motion passed. Liberty read the Treasurer’s Report because Ben Mathis was absent. We have $1,000 in our scholarship fund and $2,976.26 as our remaining balance. Bailey moved to accept the Treasurer’s Report, and Jill seconded it; the motion passed.

Our club received a $100 donation to our scholarship fund from Tish and Marina in memory of Skip McClelland. We signed a thank-you card for Skip’s family.

Old Business:
Members were reminded to check locations in Kremmling for PRC pamphlets and information. Marcy Monnahan, Bailey, and Audrey came up with three choices for club t-shirts. Shiloh moved to have the t-shirts colored in lime green, Taylah French seconded it; the motion passed. Jill moved that we combine the designs for the shirts, Shiloh seconded it; the motion passed. Bailey moved that we pay for shirts for all members last year and parents. Kenna Wall seconded it; the motion passed. The club voted that we get our shirts made by Active Images in Winter Park. Marcy will send an email asking everyone to get their sizes. The club decided to table the decision on where and when to have a rec center trip. Audrey will send  a thank you letter to Caroline for the newsletter to thank the 4-H community for their support with our peach fundraiser.

  • 3. Print off your form & bring to the Extension office with your enrollment dues

The club checked and reviewed the charter paperwork. Bailey made a motion to approve the general annual plan of action. Foster seconded it; the motion passed. Jill made a motion to accept the budget, Foster seconded it; the motion passed.  Liberty, Bailey, and Jill will complete the annual review with Shelly Mathis at the end of the meeting.

It’s National 4-H Week! Post a picture of yourself holding a 4-H sign on Social Media!

Moms will plan a taco lunch to happen just prior to November’s meeting.

Jill made a motion that we donate cookies for Kremmling’s Tree Lighting Ceremony. Foster seconded it; the motion passed. Jill will get prices from her mom so we can purchase the cookies from Jilly’s. Moms will research other community service options in the county.

The next club meeting will be Friday, November 14. We will meet at 12:30 for a taco lunch. Bailey will say the prayer and Liberty will do the devotion.

Jill moved that we adjourn the meeting and Kenna seconded it.The meeting was adjourned at 1:50.

Recap for October 2014 Meeting

Old Business:
  • Audrey will edit Julie’s thank-you letter and address it to the 4-H community to thank them for supporting our club.  She’s submit it to Miss Caroline to be published in the 4-H newsletter.
  • Club T-Shirts - The club voted on a design and Marcy will get size requests from club members before submitting the order.
  • Trip - On the Table - The club decided to put on the table for later discussion a trip to the Fraser or Silverthorne Rec Centers or to Snow Mountain Ranch.

New Business:
  • Donation to Scholarship Fund - Tish and her sister (Marina) donated $100 to our club’s scholarship fund in memory of Skip McClelland.  The club signed a thank-you card to send to Skip’s family to let them know about the donation.

  • Charter Paperwork - The club approved the Annual Plan of Action and Budget for 2014-2015.  Bailey, Liberty and Jill helped Shelly conduct the Annual Review of the club’s financial status.
  • Taco Lunch @ November’s Club Meeting
    • Lunch begins at 12:30 p.m.
    • Susan organized the lunch and met with mothers after the meeting.  Contact her if you have questions on what you need to bring.
  • Holiday Community Service
    • The club voted to provide cookies to Kremmling’s tree lighting ceremony.
      • Jill will ask her mother about ordering cookies through Jilly’s.
    • Tish will research donating cookies to the tree lighting ceremonies in Hot Sulphur Springs and Granby.
    • Tonya will investigate donating gifts to West Grand Wishes, while Marcy will see if there is a Cliffview resident or hospital resident that does not have a family and needs “adopting” for Christmas.

    • Registration is Open - Oct. 15-29, 2014.

    • Anyone from our club who wants to go will receive $25 in trip assistance.

Old Business:
  • Granby Cloverbud Camp - The Junior Leaders voted to not do the camp in Granby on Sept. 13th.
  • Peaches
    • Spreadsheets - Changes to spreadsheets were suggested and will be implemented
    • Pears and Apples
      • We did not have a chance to vote, so we will address this later for next year.
      • Tish shared that if we do want to sell pears and apples, the orchard said our minimum order would be a 100 boxes (apples and pears combined).
  • PRC Brochures
    • These club members still need to check businesses for PRC paperwork:

  • Thank-you letters to editors for our supporters - Julie wrote two letters thanking our community for supporting us through all of our fundraisers.  These were sent to Sky-Hi News and Grand Gazette.
    • Marcy suggested that she also send this letter to Caroline to publish in the county 4-H newsletter.
  • August 30th Concessions - There were slower sales, because not as many people attended the gymkhana; however, we still made $181!  Thanks to everyone who donated and helped out!


New Business:
  • Congratulations on Exhibit Day, Fair, and State Fair!
  • We signed club thank-you cards for businesses who supported us: Kum & Go, Wal-Mart, City Market, Kremmling Mercantile, Grand Gazette, Dennis Carpenter
  • Our Accomplishments this Past Year:
    • Hearts bonded with one another as a new group
    • 100% completion (if livestock people submit record books today!)
    • Fantastic results at Exhibit Day, Fair and State Fair
    • 6 Clover Times
    • 1 Cloverbud Camp
    • 243 boxes of peaches sold (earned $2,916)
    • Received $200 in donations (Hot Dogging at Ace and miscellaneous donors)
    • 2 gymkhana concessions (earned $450.25
    • 4 months of tray favors for seniors
    • Meals for Baby Jaxon’s family
    • Served at 4-H Fall Fest
    • Sewed adult shirt savers
    • Baked Christmas cookies for Kremmling’s tree lighting ceremony
    • Wrapped Christmas gifts at preschool craft fair
    • Beaded crafts with Cliffview residents
  • How do you want to celebrate your big and successful 4-H year?
    • The club decided on ordering T-shirts for all of us, as well as the club funding a trip to visit a Rec Center for swimming (either Fraser or Silverthorne) sometime this winter.
      • T-Shirt Research Committee: Marcy, Bailey & Audrey
      • The will bring a list of options to the October meeting, and the club will vote on the shirt of choice.
  • NEW Plan of Action for Upcoming 4-H Year
    • The club agreed to cut all club fundraisers for next year except for the fruit fundraiser, since it was so successful and people are requesting we sell fruit again next year.
  • Next year’s club officers - Please email Shelly if you are interested in a certain office position.

  • After the meeting, club members chose their 4-H adult award nominees.

Middle Park 4-H Council Announcements

  • 4-H Council Meeting - Monday, October 6, 2014 @ 7 p.m. in Hot Sulphur Springs at their Community Hall
  • 4-H Achievement Banquet - Friday, October 17th @ 5 p.m. at the Middle Park High School in Granby
    • Homesteaders are to bring side dishes.  Each 4-H member (including those in families) are asked to bring a dish that serves 15.  For example, we would bring a side dish that serves 30, since we have two 4-H members in our family.
