National 4-H Week -- Did everyone deliver their cookies and thank you cards?

Club approved $15 to Grand Gazette for peach delivery ad & $15 to Brady Mathis to keep our website

Tish - calculate your mileage for getting pears and we will get you reimbursed.

Club voted to give Peachfork Orchards (Phil) a food basket from Harry & David for $60-$70
(in lieu of not letting us pay for his hotel room)
   
Community Service
Club voted to give Mountain Family Center $100 as a general donation (not for a specific program).

Club voted to participate in Operation Christmas Child.  
We will donate 6 boxes (one for each age group and girls and boys).
$200 total with includes $9/box/shipping
We will shop after the next 4-H meeting in Kremmling at the Family Dollar
Families can donate new items from home if they desire.
Please bring to next month's meeting.

Christmas tree lightings -
Club voted to participate in Granby and Kremmling tree lightings.
Club voted to buy 300 cookies from Starla.
Shelly, will you be contact with Starla to pick up cookies?
We will get a check to you when needed.
Granby is Nov 16th from 4-6 PM
Paige - What time do we need to set up?
You said that tables will be provided.  
Do we need extension cord? Percolator?
Each family will make 2 dozen cookies for Granby
Who can volunteer to serve?
Kremmling tree lighting is Dec 1st
I will find out when cookies need delivered.
           Each family will make 2 dozen cookies for Kremmling.

Christmas gifts for kids
Club voted to donate $100 to both West Grand Wishes and Joyful Givers
(Joyful Givers is sponsored by Trinity Church in the Pines)

This is from last year--volunteers and assignments may change. Let me know what you can do.
Marcy: styrofoam cups, plastic spoons, napkins, club banner
Tonya: hot water(?), trash can and large plastic trash bags
Shelly: extra tubs for leftover cookies, hot cocoa mix (1 or 2 batches?), packing tape
Tish: 2 tables, extension cords, large coffee percolator, 2 tablecloths, Christmas trays and plates
Paige: Russian Spiced Tea mix
What else do we need?

Kremmling - December 1st
I will make sure this is still the plan this year.
Deliver cookies by 3 p.m. at Kremmling’s Visitor’s Center in Town Square
300 cookies of various flavors needed
150 cookies from Starla Rindt (Shelly will coordinate with Starla)
Each family will donate 2 dozen cookies and arrange delivery

Recap of September 2018 Meeting

Old Business


Fruit Fundraiser
The club sold 446 boxes of fruit total:
281 peaches
71 pears
94 apples


The club voted to purchase 8 extra boxes of apples to donate to seniors and food banks.
4 boxes of Fujis and 4 boxes of Pink Ladies
4 boxes (2 of each kind of apple) will go to Granby (Tish)
4 boxes (2 of each kind of apple) will go to Kremmling (Marcy)


The club approved to reimburse Tish for fuel costs for picking up the pears.  (Audrey & Marcy)


Foster will write a thank-you letter to the newspapers (Sky-Hi News and Grand Gazette).
The letter will include our number of boxes sold and a thank-you to buyers.
He will also announce that apples will be delivered near the end of October.
Audrey can send him a copy of last year’s letter as a reference if he wishes.


In August, the club voted by email to spend $20 to book the library room for the peach delivery meeting.


Foster read a thank-you letter to the club from the Silver Spruce seniors.


The club received a donation for the scholarship fund in memory of Ben McClelland.
Foster, would you please send them a thank-you card for their donation?  I forgot to ask!


New Business



National 4-H Week, October 7-13
The club agreed to bake and deliver homemade cookies and thank-you cards to local businesses.
Kids will bake (with help from moms, of course).  :)
Please include a thank-you note for their support of the 4-H program and sign the club’s name.


Families may deliver any time during the week of October 7-13 (or earlier if on vacation).  :)

Leadership Change
Shelly is “retiring” from serving as Organizational Leader and will continue as an “advisor” as of Oct. 1.


Marcy is our new Organizational Leader.

Peach Delivery Day Plan
Tentatively…unless Tish hears differently from Phil this Wednesday or Thursday...
We will meet Phil in Hot Sulphur Springs on Monday, August 13th at 8:30 a.m.

Directions to the Meeting Spot in Hot Sulphur Springs
If coming from the west, turn right at the gas station.
If coming from the east, turn left at the gas station.
Drive one block.  
Park in the empty lot on the corner of Moffat Avenue and Hemlock Street, on the left.

Please Bring
---Please wear your 4-H Homesteaders T-shirt!
---Markers (for writing your buyers’ names on box lids)
---Scotch Tape (for taping thank-you slips on box lids)
---Snacks and Water Bottles

Marcy - Fruit spreadsheets for everyone; club checkbook; horse trailer

Shelly - Thank-you slips; packing tape for the banner; thank-you card for the Peachfork Orchard

Susan - Homesteaders’ banner (cut down from fairgrounds on Sunday, the 12th)

Tish - Verify delivery date with Phil; contact Kelly to notify government complex buyers

Everyone - We are ordering 30 extra boxes for last-minute sales.  
Make notes of people who want to buy and collect money as you deliver.  Thanks!

The Master Plan
---Most of us will unload the boxes from Phil’s truck.

---As these boxes are stacked, a couple of us will tape thank-you slips onto the lids.

---Next, we will each take our personal sales to designated vehicles.

---The club’s HSS government complex sales should be left in the center.

---Under Marcy’s direction, the names of buyers will be written on the lids of the HSS boxes.

---Delivery Teams (containing one adult plus kids) will deliver boxes to the correct office.

---Paige, Emily, Tonya (maybe) and Cathlyn will help deliver HSS sales.

---Once HSS sales are delivered, everyone will leave to deliver their assigned boxes.

Please contact Marcy if you have questions about your spreadsheets or deliveries.
